At Axiva, we take your privacy seriously. This policy explains what information we collect when you visit our website or work with us, why we collect it, and what we do with it. Who we are
Axiva is a software development company with offices in India, the United Arab Emirates, and Singapore. We build enterprise software for businesses across fintech, education, HR, manufacturing, and retail. When we say "we," "us," or "our" in this policy, we mean Axiva and its subsidiaries.
What we collect
The information we gather depends on how you interact with us. Here's what that looks like in practice:
Information you give us directly
- Your name, email address, phone number, and company name when you fill out our contact form or reach out to us
- Project details, requirements, and any documents you share during consultations
- Payment and billing information if you become a client (processed through secure, PCI-compliant providers; we don't store card numbers ourselves)
- Any other information you choose to send us through email, phone calls, or meetings
Information we collect automatically
- Your IP address and approximate location derived from it
- Browser type and version, operating system, and device information
- Pages you visit on our site, how long you stay, and where you came from
- Cookies and similar tracking technologies (see our Cookie Policy for specifics)
Why we collect it
We don't collect data for the sake of collecting it. Everything we gather serves a clear purpose:
- To respond to your enquiries. When you submit the contact form, we need your details to get back to you.
- To deliver our services. Project communication, updates, invoicing, and support all require the information you provide.
- To improve our website. Analytics help us understand which pages are useful and which ones need work.
- To protect against abuse. IP addresses and device data help us detect spam submissions and prevent misuse of our contact form.
- To comply with legal obligations. Tax records, contractual documentation, and regulatory requirements in the jurisdictions where we operate.
How we protect your data
We use industry-standard security measures to keep your information safe. Our website runs on HTTPS. Form submissions are protected by CSRF tokens and rate limiting. We sanitize all inputs to prevent injection attacks. Access to client data within our team is restricted to people who genuinely need it for their work. We review our security practices regularly, and we don't cut corners on this.
That said, no system is perfectly secure. We can't guarantee absolute security, and neither can anyone who claims otherwise. What we can promise is that we treat your data with the same care we'd want for our own.
Who we share it with
We don't sell your personal information. Full stop. We do share data in a few limited situations:
- Service providers who help us run our business: hosting providers, email delivery services, analytics platforms, and payment processors. These providers are bound by contracts that restrict what they can do with your data.
- Legal authorities if we're required to by law, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
- Business transfers. If Axiva is ever acquired or merged with another company, your data would transfer as part of that transaction. We'd notify you before that happens.
How long we keep it
Contact form submissions are stored for up to 12 months, unless a conversation leads to an active project. Client project data is retained for the duration of our engagement plus five years afterward, which covers our contractual and legal obligations. Website analytics data is aggregated and anonymized after 26 months. You can ask us to delete your data sooner; see "Your rights" below.
Your rights
Depending on where you're located, you likely have rights over your personal data. These typically include:
- Access - You can ask what data we hold about you.
- Correction - If something's wrong, let us know and we'll fix it.
- Deletion - You can ask us to delete your personal data, subject to any legal retention requirements.
- Portability - You can request a copy of your data in a structured, machine-readable format.
- Objection - You can object to certain types of processing, such as direct marketing.

International transfers
We operate across India, the UAE, and Singapore. Your data may be processed in any of these locations. When data moves between jurisdictions, we ensure appropriate safeguards are in place to protect it, consistent with the privacy laws applicable to you.
Children's privacy
Our services are designed for businesses, not individuals under 18. We don't knowingly collect personal information from children. If you believe a minor has submitted data through our site, please contact us and we'll remove it promptly.
Changes to this policy
We may update this privacy policy from time to time. When we make meaningful changes, we'll update the "Last updated" date at the top and, where appropriate, notify you directly. We encourage you to review this page periodically.
